1 PART 1 · 1.0: 3 GOTECH COMPANY OVERVIEW · IN 2006, GOTECH (GAS & OIL TECHNOLOGIES) COMPANY WAS FOUNDED AS A JOINT VENTURE WITH THE AL-OTHMAN GROUP AND IS BASED IN RIYADH, SAUDI ARABIA. It provides enterprises and individuals with digital solutions and technical IT solutions. During its expansion process, the Company has opened offshore offices in Egypt and Italy. 3 ONE OF THE CHALLENGES GOTECH FACES IS THE COVID-19 PANDEMIC, STIFFENING COMPETITION, AND RAPID TECHNOLOGICAL ADVANCEMENTS. (Lin, 2011).
· 2.0: Type of GoTech Management · GoTech follows a top-down management style that follows a vertical organizational structure but mostly a hybrid style. There is also a situation where the horizontal channel through various communication networks (Monge & Contractor, 2001).
· The company has expanded to two other locations outside Saudi that have shifted it to practicing virtual management. The distributed teams in Europe and Africa also need to be managed from the Saudi headquarters and as such, some meetings and managerial tasks have to be done and accomplished virtually. Since all employees are able to report to the office, Gotech can comfortably utilize the traditional management style (Kahlow et al., 2020).
· The regional managers can easily coordinate their management styles horizontally. In some instances, the employees corroborate with team leaders engaging with regional managers who then report to their global head office superiors.
· 3.0: 4 GOTECH HYBRID MANAGEMENT CHALLENGES · COMMUNICATION CHALLENGES · CULTURAL AND POLITICAL CHALLENGES
· Hybrid management styles minimize the frequency of management challenges getting out of hand. The challenges emanate from communication, cultural differences, and political issues (Garton & Wegryn, 2006).
· In Egypt, the previous political uprising has led to reclamation of youthfulness with expatriates having challenges of taking domestic roles. Managing a geographically dispersed team always requires a unique approach that is completely different from the traditional management style. When it comes to virtual management financial considerations must be budgeted to cater to geographical diversity.
· For KSA citizens, the focus on Sharia guidelines might lead to friction among females and male employees of the company. Therefore, communication has to be made clearer with Italians ensuring that it balances and relaxes out employee’s association.
· Italy has a heterogeneous culture setup making managers be cautious on how to manage family-owned enterprises that make up a bigger size of Italy’s economy (Masino, 2008). Remote workers tend to feel isolated in most cases. As the common saying goes, out-of-sight, out-of-mind.
· Virtual management tends to leave out remote workers in some activities or decision-making processes. As a result, they feel inadequate, leave out, and their input is less valuable (Berger et al., 2021).
· To communicate effectively to virtual teams, managers need to understand the use of modern technologies, in terms of their installation, set-up, and even troubleshooting in the event it fails to function. A lack of effective reporting systems can lead virtual teams to lose a sense of direction and leave them out of critical decisions. In the long run, the team becomes dysfunctional.
· The hybrid management style comprises both virtual and traditional styles of management. Placing importance and priority becomes a challenge when dealing with global teams. In some cases, the interpretation of the message might be weird or wrong making it hard to formalize. 3 COMMUNICATION STYLES NEED TO BE ADAPTED TO CULTURAL DIFFERENCES AND PREFERENCES. The adjustment process in managing virtual teams or physical teams drawn from various races leads to conflicts as it takes time for all members to understand how to relate among themselves and with their seniors (Juneja, n.d.).
· Hostility tends to crop among team members due to different cultural backgrounds. 3 COMMUNICATION STYLES, PERSONALITIES, LEARNING STYLES, AND PERSONAL BELIEFS VARY WIDELY WITHIN SUCH BACKGROUNDS. Company culture contributes more to organizational politics. In cases of rigid hierarchies within the organization’s structure has been seen to require several political lobbying and maneuvering. In lobbying, team members influence teammates to subscribe to their intentions disenfranchising others who might not be vocal and aggressive. If the manager does not act impartially, the group becomes dysfunctional and unproductive (Berger, 2021). Therefore, without the proper planning, friction might befall the institution as they differ culturally by religion
· 4.0: 3 RISKS TEAM BASED ON TUCKMAN’S TEAM LIFE CYCLE MODEL
In this model, teams move through stages starting with forming, storming, norming, and performing. 3 IN ORDER TO PERFORM ALL OF THESE THINGS, A RISK MANAGEMENT PROCESS MUST BE ESTABLISHED THAT DEFINES ALL THE PROCEDURES FOR SPOTTING, ASSESSING, SCHEDULING, AND SETTING CONTINGENCY PLANS. Risk response teams are tasked with identifying, managing, monitoring, and prioritizing risks as and when they occur.
1. 3 FORMING STAGE TEAM MEMBERS DO NOT HAVE ANY SET GOALS AND THE DEGREE OF COMMUNICATION IS LOW.
2. Storming stage, individuals start feeling like part of the team. At this stage, there are numerous conflicts and communication mishaps that occur before the goals become clear.
3. 3 NORMING PHASE INVOLVES THE FORMULATION OF GROUND RULES TO GUIDE TEAM MEMBERS. Teammates become cohesive through bonding and creating meaningful relationships as they become dependent on each other.
4. 5 PERFORMING IS THE LAST STAGE. Here team members have learned how to relate and now act as one unit. 3 BASED ON CLEARLY DEFINED GUIDELINES, WORKLOAD DISTRIBUTION IS FAIRLY DONE. Teams focus on goals with communication coming from all departments (Kii, 2018).
· In choosing the team, as a manager, you have to consider diversity, expertise, and experience levels for different roles such as Human Resources, Information Technology Information, and regional managers. It will be easier to allocate roles and distribute workload based on an individual’s capacity. Time zone differences should be considered carefully so that some team members are not disadvantaged. 3 DESPITE LIMITED INPUT AND THE PRESENCE OF A MANAGER, SUCH A TEAM CAN THRIVE. TO MANAGE THE REST OF THE GROUP MEMBERS, THE VIRTUAL MANAGER MUST POSSESS THE REQUISITE SKILLS AND KNOWLEDGE. A MEMBER OF THE RISK RESPONSE TEAM MUST BE KNOWLEDGEABLE ABOUT RISKS AND WAYS TO MITIGATE THEM.
· UNFORTUNATELY, VIRTUAL TEAMS ARE SUBJECT TO COMMUNICATION COMPLEXITIES RESULTING FROM THE MISINTERPRETATION OF BODY LANGUAGE AND THE TONE OF VOICE IN VIRTUAL MEETINGS. In some cases, virtual politics prevail that can adversely affect the organization.
· Complexity increases as a company grows, i.e., as the organization grows, so does corporate politics. 3 UNTIL A LEVEL GROUND IS ACHIEVED FOR COLLABORATION AND BONDING, VIRTUAL TEAMS TEND TO FEEL INDIFFERENT TO ONE ANOTHER.
· While remote work is flexible, it also presents its own set of challenges. 3 A LACK OF ONE-ON-ONE INTERACTIONS MAKES IT DIFFICULT TO BUILD A UNIFIED AND COHESIVE TEAM. Physical meetings allow for more than just correspondence; they also facilitate interaction, emotion sharing, and non-verbal communication that strengthen interpersonal relationships (Rahja, 2020).
· 5.0: GoTech Regional Managers role
It is important to understand that leadership is not the same as wisdom, intelligence, or knowing. Despite their differences, all leaders have a unique set of skills and capabilities that help them succeed. For this reason, good leaders tend to possess these characteristics. 3 WHEN YOU’RE A REGIONAL MANAGER, YOU LEAD OTHERS, AND YOU DON’T HAVE TO TELL THEM WHAT TO DO.
IN ORDER TO ACHIEVE FULL POTENTIAL IN TASK DELIVERY AND ROLE ACCOMPLISHMENT, REGIONAL MANAGERS MUST INSPIRE, ENCOURAGE, AND MOTIVATE THE TEAMS THEY MANAGE. The practice of commitment should be imparted to their teams by regional managers. Virtual teams are dispersed and work remotely, so as a regional manager, you should be well-present through a variety of virtual communication tools to ensure team members can reach you for advice or clarification, including telecommuting (Belaner et al., 2001).
3 · IT SHOULD NOT BE ABOUT MICROMANAGEMENT, BUT ABOUT MAKING YOUR TEAM MEMBERS FEEL VALUED. You should use webinars to train your virtual team.
· Virtual team managers need to use time management tools effectively. Work email tools should be set up so that messages are prioritized and sorted by priority.
· It is important to establish a defect-tracking process and management system for technical projects. 3 TEAM MEMBERS SHOULD USE A COLLABORATIVE TOOL TO SYNCHRONIZE THEIR WORK WHEN THEY ARE ENGAGED IN SIMILAR TASKS. Video conferencing is another excellent tool for facilitating team meetings (Rahja, 2020).
1 · PART 2 · 6.0: GOTECH CHALLENGES · EXISTING CHALLENGES/ DISASTERS · POTENTIAL CHALLENGES/ DISASTERS
3 · ONE OF THE CHALLENGES IS THE IMPACT OF COVID-19 AND THE MANAGERIAL AND ORGANIZATIONAL TRANSFORMATION THAT COMES WITH ITS GLOBAL EXPANSION.
· Both internally and externally, strong measures are needed to address operational issues. The company should allow its employees to execute their mandate with digital and technological tools.
3 · TO IMPROVE EMPLOYEE MORALE, THE COMPANY SHOULD CATER TO EMPLOYEE WELFARE. CLIENTS AND CONSUMERS SHOULD BE ABLE TO ACCESS PRODUCTS AND SERVICES. IN ORDER TO BALANCE OUT VARIOUS TEAMS FROM DIFFERENT GEOGRAPHICAL LOCATIONS, IT WOULD BE CHALLENGING TO HARMONIZE TIME ZONES FOR TEAM MEETINGS.
· The tools that require tech-savvy personnel to use can be hard to handle and use for inexperienced employees. 3 AS REMOTE WORK IS HEAVILY DEPENDENT ON THE INTERNET, DATA INTEGRITY AND SECURITY MIGHT BECOME A PROBLEM (ALMEIDA ET AL., 2020).
· 7.0: 6 GOTECH RESOURCES · WHAT ARE THE DIGITAL AND FINANCIAL RESOURCES?
1 · HOW CAN THESE RESOURCES BE UTILIZED?
3 · IN ORDER FOR THE TEAMS TO WORK EFFICIENTLY, THEY MUST USE WEB-BASED DIGITAL COMMUNICATION TOOLS. There are digital tools that can be used to manage virtual teams, schedule jobs and workloads, and share data files. 3 USING THESE TOOLS, THE TEAM’S OVERALL PERFORMANCE CAN ALSO BE TRACKED AS WELL AS INDIVIDUAL EFFORTS DEPENDING ON WORKLOADS.
· TOP MANAGERS AT GOTECH NEED TO DECIDE ON PREFERRED COMMUNICATION AND TASK MANAGEMENT TOOLS AND PURCHASE AND INSTALL THEM. In its capacity as a digital venture company, the company has been able to secure enough funding to sustain its operations (Hor et al., 2021).
· There have to be flexible ways with which files can be edited collaboratively, time tracked, files shared, and instant messaging on the same platform as customer relationship management. 3 FOR COMMUNICATION, VIRTUAL TEAMS CAN EITHER USE ZOOM, MICROSOFT TEAMS, OR SLACK, DEPENDING ON THEIR PREFERENCES.
· AS BOTH ZOOM AND MICROSOFT TEAMS HAVE EXCELLENT FEATURES TO SUPPORT VIRTUAL MEETINGS, THEY ALLOW MEMBERS TO SHARE THEIR SCREENS DURING MEETINGS. Team execution is also supported by Wrike. 3 GANNT CHARTS TRACK TIME, MILESTONES, AND BUDGET FOR A PROJECT USING THIS CLOUD-BASED TOOL. TO SYNCHRONIZE NEW FEEDS OF INFORMATION, ALL OF THESE TOOLS RELY ON CONSTANT REFRESHING (PETROV ET AL., 2020).
· 8.0: 1 GOTECH DIGITAL CAPABILITIES · EXISTING CAPABILITIES THAT CAN BE STRENGTHENED · NEEDED CAPABILITIES THAT MUST BE INVESTED IN
3 · DATA STORAGE SHOULD BE MADE EASIER WITH THE USE OF DIGITAL SYSTEMS BY GOTECH. THE VIRTUAL TEAM WILL BE ABLE TO COMMUNICATE, COLLABORATE AND MEET FREQUENTLY. THE GOTECH GENERAL MANAGER SHOULD CONSIDER USING CLOUD-BASED PROGRAMS FOR STORING AND MANAGING DATA AND INFORMATION.
· USING NEW TECHNOLOGIES THAT PROVIDE FLEXIBILITY FOR VIRTUAL ENGAGEMENT WILL BE THE FIRST STEP TOWARD SUCCESSFUL REMOTE SUPERVISION. ZOOM HAS PROVEN USEFUL FOR EFFECTIVE COMMUNICATION AND COLLABORATION. IT OFFERS GROUP CALLS AND HIGH-QUALITY VIDEOS; slack conversations are easier to follow up on than emails. It allows for easy sharing of business files, making calls, and integrating with other applications. In addition, the Kickidler software tool will be crucial to my efforts to supervise remote employees effectively. 3 WITH THIS APPLICATION, EMPLOYEES WILL BE ABLE TO TRACK THEIR PRODUCTIVITY TIME SPENT ON BUSINESS-RELATED ACTIVITIES, THEIR EFFICIENCY LEVELS, AND EVEN THEIR SCREEN RECORDINGS WHEN USING COMPANY EQUIPMENT SUCH AS COMPUTERS IN REAL-TIME.
· TO SUPPORT ONLINE STORAGE, ACCESS, AND EXCHANGE OF COMPANY DATA, CLOUD-BASED STORAGE TOOLS NEED TO BE PROVIDED BY RELIABLE VENDORS.
· GOOGLE DRIVE WILL BE ONE OF THE TOOLS USED FOR COLLABORATION SINCE IT PROVIDES QUICK ACCESS TO LARGE MULTIMEDIA FILES THAT CANNOT BE SENT VIA EMAIL TRANSFER (KRASNOV ET AL., 2019).
· 9.0: Solutions to GoTech Challenges · Since the technology is accessible to its competitors, the only way to survive is by establishing and migrating to cutting-edge digital solutions to offer excellent services. As a leading service provider in Saudi Arabia, it has to focus on research and development to diversify a wide range of products and services that attracts its clientele for more repeat business GoTech will keep most of its clients and build a pipeline of new clients by being customer-centric and keeping its promises. 3 IT IS ONLY THROUGH RAPID TECHNOLOGY DEVELOPMENT THAT A COMPANY CAN OFFER ITS PRODUCTS AND SERVICES WITH SUSTAINABILITY, CONSISTENCY, AND CERTAINTY.
· As for the coronavirus pandemic, the executive management has to come up with programs geared towards employees’ plight. Health protocols have to be diligently observed and followed to minimize the number of casualties within and without the company’s premises.
3 · IN VIRTUAL TEAMS, COMMUNICATION COMPLEXITIES ARE OFTEN RESOLVED BY AN OPEN DISCUSSION AND BY ALLOWING THE TEAM MEMBERS TO BRAINSTORM THE GROUND RULES THAT SHOULD GOVERN THEIR INTERACTION.
· IN TERMS OF FINANCIAL MATTERS, ITS COLLABORATION WITH AL-OTHMAN WILL ENABLE IT TO MAINTAIN ITS FINANCIAL HEALTH AS IT PROVIDES ITS SERVICES. IN ADDITION, IT WILL ENABLE IT TO INVEST IN STATE-OF-THE-ART TECHNOLOGIES THAT WILL KEEP IT AHEAD OF ITS COMPETITION (ALMEIDA ET AL., 2020).
· 10.0: Conclusion · In conclusion, the current global business environment is so competitive that any slight signs of slacking can deep an enterprise into losses. Companies must expand their reach by venturing into offshore markets such as emerging markets in countries and continents that show signs of revenue growth for their stakeholders. GoTech can compete with other multinationals dealing incomparable products and services due to its increasing market share and coverage. Companies have benefited from rapid technological development by switching to remote operations and enabling employees to work and complete tasks virtually. The costs associated with leasing and renting offices are lowered.
