Operations Manager-hospital leadership
Controls all movement occurring in the institution. Some of these movements are involved in the environmental services, safety, seciurity and admissions deparments. It is also the duty of the operations manager to attract talent and set hiring and training standards and procedures. Besides, the operations manager makes analysis that can enhance hospital processes and focus on improving productivity, efficiency and quality.
The operations manager coordinates the admissions, safety, environmental services and security departments to ensure smooth flow of operations in the center.
Some of the various systems used in the various departments include cart management system and materials information system used by environmental services, the safety department collaborates with the census management system and EHR of other departments. On the other hand the security department uses the access and building monitoring system.
Recommendation
Link the EHR with the supply systems
Impact
Reduce manual input by nursing staff and improve billing accuracy.
It is the duty of the operations manager to seek for qualified and competed hospital information professionals who will link the two systems together for efficient functioning.
With such an intergration there is accuracy in billing suppliers. Besides, manual input by nursing staff is reduced or eliminated.
Business Services Director– hospital Leadership
Responsible for managing admisions, contracts and medical records.
The business services director reports to the operations manager on the daily operations of the center. Whereby, the team behind the manager compiles information on admissions, pre-registration and after the patient’s arrival at the hospital.
EHR is the system used for the admissions
Recommendation
Improve the billing requirements on the system because various insurers require different formats when presenting certain information.
Impact
Improve the billing options in the EHR output and allow data to be presented in various formats. Thus, work with various insures and not limited to a certain group.
The director must ensure that they seek for qualified HIP that will develop the EHR system to be a modified one.
Customizing the EHR enables the hospital to reach a broad custome base because its billing options will improve work output, accuracy and productivity
Medical Record Supervisor from the medical record department
Medical record supervisor is responsible for supervising the daily opearations in the hospital. He or she oversees the overall maintenance and coding of records.
A medical record supervisor reports to the overall manager in the medical record department that is the operations manager.
EHR
Recommendation
An upgrade to the the system that will represent record in audits.
Impact
Clients Data or records will be accurately represented and no cases of data elimination. The software will be able to sync with
Seek for the appropriate system or software that will allow syncing with wireless devices to improve efficiency
With the new upgrade accessing patients records will be enhanced because one will have to sync via their wireless device and service delivery will be improved.
Chief Medical officer- Head of healthcare adminstration
The CMO is a health care adminstrator responsible for managing the medical center. For instance, he manages clinical operations liaises with medical and administration staff to ensure that patients are received and treated according to the set medical care standards.
The CMO reports to the top leadership of the hospital and manages all the other medical officers in the center.
The system used is EHR
Recommendation
Upgrade to system that will integrate patient’s information from various locations or departments into one record.
Impact
Communication with system from other departments will be upgraded. Also, patients’ information will be easily accessible and with ease.
Conduct research or survey on the altenative system that can substitute the EHR after considering the cost for the project
Communication at the medical centre will be enhanced because messages could be shared from one department to another. Besides, the ease of access and retrieval of patient records will also be enhanced.
Chief of diognistic Services- Diagnostic department
A CDS is incharge of the diagnostic department which includes pharmacy, lab, neurology, audiology and imaging
A CDS reports to the Chief medical officer
Each department headed by the CDS has its specified system for tracking tests and patients records. All these tracking system are linked to the EHR.
Recommendation
People down stream must have access to results from patients tests but the current system does not allow them to.
Impact
Family and friends and those in the downstream will can know test results and not the tests or imaging
Seek for the appropriate system that will convey all the patient’s test, imaging and result to allow for quick diagnosis.
Allows for fast interpretation of the patient’s diagnosis instead of spending time waiting for an expect to convey the results.
Pharmacy Manager-Pharmacy department
The responsibility of a pharmacy manager is to oversee a pharmacy’s everyday business operations. He or she has to advise to clients and dispensing medication as prescribed. Besides a pharmacy manager has to oversee the storage of controlled substance and prescription drugs
He or she manages the pharmacy staff and reports to the chief of diagnostic services.
The current systems used in this department include EHR, Medication Management system and pharmacy system
Recommendation
Implement a system that what keep track on medications that enters the hospital. Also the system should communicate the mediaction present at the pharmacy
Impact
Allow doctors to prescribe what is present in the pharmacy stock, make orders of those prescription not available in the pharmacy and this enhances communication
The pharmacy manager has to implement the appropriate system that incorporate all these services while considering installation cost
Communication is enhanced and prescription area made fast without guessing the doctor is accurate when prescribing because he or she knows that the medicine is at the pharmacy.
Nurse Manager- Cancer Center department
Schedules for radiations and chemo for active treatment patients. Besides, it is the duty of a cancer center nurse manager to oversee who is coming for treatment either, biopsy, surgery or chemo.
Reports to the chief of diognistic services
EHR is the system used to make reviews on daily meds and orders
Recommendation
Implement a system supports work flow through directing nurses during shifts on what has been done and what they are entitled to.
Impact
Smooth flow of the operations will be enhanced and all records will be retrieved with ease.
Seek for an affordable system that will offer the desired results as well as solving the mentioned issues
Increases productivity through service delivery and eliminates collision of patients at the hospital.
