Activities

Complete the following activities:

Carefully read the following:

This project requires you to manage the implementation of a new ICT system. You can complete this assessment based on the case study organisation or for a business that you are working for or are familiar with. If you are completing this assessment for a business of your choice, it’s important that you can access all the resources required to manage the implementation of an ICT systems project. Please consult and get APPROVAL from you trainer before proceeding. This includes project and organisation documentation (for example, a project plan and project management policy and procedures). Speak to your assessor to get approval if you want to base this on your own business or workplace.

You will be collecting evidence for this unit in a Project Portfolio. The steps you need to take are outlined below.

Preparation

Make sure you are familiar with the organisations you are basing this assessment on and have read through the necessary background information. For the case study organisations, this is all of the documents included in the ICTPMG616 Simulation Pack. If it’s your own organisations, it’s important that you have this approved by your assessor.

Complete Page 4 of your Project Portfolio for this unit.

Read through the requirements of Section 1 and 2 of your Project Portfolio which include detailed guidance relevant to all the assessment activities.

Prepare for system implementation

You are now to work on Section 1 of your Project Portfolio by preparing for the ICT system implementation. This involves:

·           Reviewing the project and system documentation to understand implementation requirements.

·           Assessing organisational culture and identifying potential risks during implementation.

·           Identifying options for implementation and recommending the best approach.

You are also to prepare a short presentation about the implementation options and constraints. You will present this to stakeholders in order to determine the required approach. If you are completing this in your RTO, this will be to a small group of students organised by your assessor. If you are completing this based on your own business, it can be a presentation to stakeholders at work or you can also present it to a small group of students.

Your presentation should be for approximately 10 minutes. See the detailed instructions in your Portfolio for preparing your presentation.

Work on Section 1 of your Project Portfolio.

Implementation options presentation

Provide your presentation to your team about implementation options and constraints. Make sure you provide the opportunity to seek feedback on the approach. Following the presentation, you will develop an implementation plan that follows the agreed approach.

During the presentation, you are to use oral communication skills including:

·           speaking clearly and concisely

·           using industry language that your audience can understand

·           asking questions to identify required information

·           responding to questions as required

·           using active listening techniques (summarising skills) to confirm understanding.

This can either be viewed in person by your assessor or you may like to video record the session for your assessor to watch later. Your assessor can provide you with more details at this step. Make sure you follow the instructions above and meet the timeframes allocated.

Implementation planning

You are now to work on Section 2 of your Project Portfolio by developing the implementation plan. This involves developing a detailed implementation plan as per the Implementation Plan template in the Simulation Pack. You are required to use this template regardless of whether you are completing this assessment for the case study organisation or for your own ICT project.

You will also need to complete a request for sign off for your plan, as well as a request for change as per the instructions in your Portfolio.

Complete Section 2 of your Project Portfolio.

Finalise ICT systems implementation

You are now to complete Section 3 of your Project Portfolio by finalising the ICT systems implementation. This involves:

·           Checking to see that acceptance test criteria have been met.

·           Confirming solution requirements are met.

·           Managing final installation and testing.

·           Reviewing and updating SLAs and disaster recovery plans as required.

Complete Section 3 of your Portfolio.

Submit your completed Project Portfolio

Make sure you have completed all sections of your Project Portfolio, answered all questions, provided enough detail as indicated and proofread for spelling and grammar as necessary.

Submit to your assessor for marking via LMS/Moodle.
